The palaces in Historic Royal Palaces’ care are all owned by The Queen 'in Right of Crown'. This means that Her Majesty holds the palaces in Trust for the next monarch and by law cannot sell, lease or otherwise dispose of any interest in the palaces.
To assist the Executive Assistant in providing confidential and professional administration support service of the highest quality to senior personnel, and to ensure that the CEO and CFO’s offices are represented appropriately and that all visitors are treated with courtesy and professionalism
To support the Executive Assistant with all routine administrative tasks including: diary management, email, telephone, post, printing, typing and filing.
Collation of Executive Board & Trustee papers.
Deputise for the Executive Assistant in his/her absence.
Confirm room bookings and refreshments for Executive Board and Trustee Meetings.
Organise events such as Trustee dinners, retirements, Executive Board Away Days, developing effective relationships with internal and external suppliers to deliver 5* customer service.
Meet and greet visitors and provide refreshments.
Develop and maintain effective team working and relationships with colleagues and teams across HRP.
Office Administration Function
Travel co-ordinator for CEO, Finance Director, Chairman and Trustees – including flights, accommodation, taxis, parking and rail journeys.
Maintain office supplies and equipment.
Manage the financial processes of the CEO and Finance Director: procurement card reconciliation, expenses and petty cash, invoice processing on EFin,
Ensure that ‘value for money’ is achieved in all decisions and actions, and that all materials and resources are effectively and efficiently utilised to minimise waste and reduce costs.
Manage an efficient and confidential filing system, both electronically and in hard copy.
Comply with all health and safety regulations and safe working practices as required by current legislation and HRP’s Health and Safety Policies and Practices.
Ad hoc projects for CEO and administrative support to the Governance team.

Requirements and prospects
GCSE Grade 4 and above or Functional Skills
